Terms and Conditions – Uzbekistan

Registration & Payment Options

Registration 

To secure your place on the trip, you must complete an application form for either the 9-day Essential Package or the 11-day Complete Package with Termez. After completing the application, you will need to select your payment option for the room type. Please note that simply completing the application form does not secure your place. To confirm your booking, you must make either the first instalment or the full payment.

Payment Deadlines

  • Early Bird Deadline: 31st December 2024 – either full payment or the first instalment.
  • All early bird instalments must be completed by 29th February 2025.
  • All standard price instalments must be completed by 24th March 2025.

Early Bird Instalment Options

You can choose to pay in a single instalment or in three instalments spread over three months at no extra cost. To qualify for the early bird discount, the first instalment must be cleared by 31st December 2024, the second instalment by 31st January 2025, and the final (third) instalment by 29th February 2025.

Cancellation and Non-Refundable Deposit Policy

Non-Refundable Deposit Policy

We understand that unforeseen circumstances may arise, requiring you to cancel your participation. In order to ensure fairness to both our participants and the organisers, we have established the following cancellation and Non-Refundable deposit policy:

31st December 2024: The first instalment (or equivalent if full payment is made) is a non-refundable deposit.

29th February 2025: The first two instalments (or equivalent if full payment is made) are non-refundable.

24th March 2025: 100% of the total amount paid is non-refundable.

The non-refundable deposit is non-transferable to other products, services, programmes, or bookings.

Transferring Your Booking

If you are unable to attend, you may transfer your booking to another person. You are responsible for finding a replacement, and an administrative fee may apply for name changes on domestic flights.

Refund policy, Cancellation Rights and Waiver of Cooling-Off Period

By booking this international trip, which involves multiple flights, hotels, and transportation, you acknowledge that this is a time-sensitive service requiring advance arrangements.

Payments Made On or Before 24th March 2025
You may request a refund within 14 calendar days of any payment. Refunds will exclude non-refundable deposits and any costs incurred by the organiser, including, but not limited to, reservation fees, administrative fees, or other expenses directly related to securing your booking.

Payments Made After 24th March 2025
You are not eligible for the statutory 14-day cooling-off period for any payments made after 24th March 2025. By making payments after this date, you acknowledge and agree that the services provided are time-sensitive and require advance arrangements, including, but not limited to, flights, accommodation, and transportation. Therefore, all payments made after this date are strictly non-refundable.

By confirming your booking, you acknowledge and agree to the terms outlined in the terms and conditions policy, including the cancellation and non-refundable deposit provisions. You also explicitly waive the statutory cooling-off period for any payments made after 24th March 2025.

Visa and Travel Documentation

Visa

British citizens do not require a visa for Uzbekistan. For other nationalities, please verify visa requirements with the nearest Uzbek embassy or consulate.

Travel Documentation

Participants are responsible for ensuring they have the necessary travel documentation, including valid passports, visas (if required), and any other required documents. ASI Tours and Al-Salam Institute are not liable for any issues arising from incomplete or incorrect documentation.

Insurance

Participants are highly recommended to have comprehensive travel insurance that covers trip cancellations, medical emergencies, evacuation, and loss of personal belongings. ASI Tours and Al-Salam Institute are not responsible for any medical or financial costs incurred due to unforeseen circumstances.

 

Hotel and Transfer Information

Hotel Check-in

Standard check-in: From 2 p.m. on Saturday, 24th May 2025.

Early check-in: Available from 7 a.m. on Saturday, 24th May, upon request, subject to an additional charge and availability. Please enquire for details.

Additional night: Available on Friday, 23rd May 2025, subject to an additional charge and availability. Please enquire for details.

Scheduled Tashkent Airport Transfers

Five transfers will be available from Saturday evening to Sunday morning.  These will be arranged based on participants’ flight arrivals and spaced to accommodate as many travellers as possible. Exact timings will be provided closer to the date of the trip. We advise booking the most convenient flight to Tashkent rather than basing your flight selection on transfer times. We will do our best to accommodate varying arrival timings.

Private Transfers

Private transfers are available for an additional $25.

Domestic flights Baggage Limitations

Each participant is allowed one piece of checked luggage weighing up to 23kg and one carry-on hand luggage weighing up to 8kg. Excess baggage may incur additional fees, which will be the participant’s responsibility.

 

Room Allocation

Twin Room Allocation for Solo Participants

Accommodation details will be provided closer to the departure date. Solo participants booking twin/shared rooms will be paired with another participant of the same gender. In the event that a same-gender roommate is unavailable, a single room upgrade (subject to additional charges) or a triple room (subject to availability) may be offered, with an appropriate discount applied.

By booking a twin/shared room as an individual traveller, you acknowledge that a room upgrade or downgrade may be necessary.

If you have a preference to share a room with a specific person, please inform us once room allocations are released.

Tripple Rooms

The triple room prices are per person. We have a limited number of triple rooms, which are reserved for families with children, either as 2 adults and 1 child or 1 adult and 2 children. Itinerary and Schedule Adjustments

Itinerary Adjustments

The itinerary is subject to modification. We reserve the right to alter the schedule for reasons of safety, operational efficiency, or in response to unforeseen circumstances such as weather conditions, road closures, or health-related concerns. We further reserve the right to make these adjustments without providing detailed reasoning.

Group Size and Composition

The tour is designed for a specific group size. We reserve the right to cancel or modify the tour if the minimum number of participants is not met. Any changes will be communicated promptly.

 

Fit to Travel Assessment

All participants are required to complete a health assessment after booking. If found unfit to travel by our local partners, a full refund will be issued, excluding administrative and card processing fees.

Pre-existing health conditions must be disclosed at the time of booking and will remain confidential. For significant health concerns, please contact residentials@alsalam.ac.uk to arrange an urgent health assessment prior to booking flights.

In the rare case your application is rejected, we are not liable for any financial losses related to flight bookings or other travel arrangements. Participants are advised to arrange appropriate travel insurance to cover such eventualities.

 

Liability and Safety

Risk Acknowledgement

By confirming your booking, you acknowledge and accept the inherent risks associated with cultural and historical exploration travel, which include, but are not limited to, the risk of personal injury, illness, property damage, or other unforeseen events. You further understand and accept that such risks are an inherent aspect of the experience, and you agree to assume full responsibility for your participation in the trip.

Limitation of Liability

While we endeavour to provide a safe and enjoyable experience, ASI Tours, Al-Salam Institute, and our partner organisations disclaim any liability for injuries, losses, delays, cancellations, or disruptions arising from events beyond our control. These include, but are not limited to, natural disasters, political unrest, strikes, or any other circumstances that may interfere with the trip.

Medical Expenses

Participants are solely responsible for all medical expenses incurred during the trip, including, but not limited to, emergency medical treatment, hospitalisation, or evacuation if required. It is strongly advised that all participants secure comprehensive travel insurance that includes coverage for medical emergencies, repatriation, and any potential trip cancellations.

Waiver of Liability

By participating in the trip, you agree to irrevocably waive any claims or legal actions against ASI Tours, Al-Salam Institute, and our partner organisations, including those arising from negligence, to the fullest extent permitted by law. It is strongly recommended that participants purchase travel insurance to cover all potential risks, including injury, medical emergencies, trip cancellation, and trip disruption.

 

Participant Conduct and Responsibilities

Unauthorised Separation from the Group

Participants must remain with the tour group at all times. Any unauthorised departure may result in removal from the group, with the participant assuming full responsibility for any associated costs. No refunds will be provided in such cases.

Personal Responsibility

Participants are expected to maintain a responsible and respectful attitude throughout the duration of the trip. This includes adhering to all safety protocols, following the instructions of tour leaders, and respecting local laws, customs, and regulations. ASI Tours and Al-Salam Institute reserve the right to remove any participant from the trip if their behaviour jeopardises the safety, well-being, or enjoyment of other participants, with no refund provided.

Punctuality

Punctuality is essential for the smooth running of the tour. Participants must adhere to the departure times set by the tour leader. Failure to be on time may result in the participant being left behind at their own expense.

Communication 

Participants should ensure that they provide an active email address and phone number at the time of booking. Important information regarding the trip will be communicated via email or text. Failure to respond to urgent communications may impact your participation.

Contact Information

Participants must provide emergency contact information and disclose any medical conditions or special requirements at the time of booking. This information will remain confidential and be used solely for emergency purposes.

Video and Audio Recording
Recording video or audio of any classes during the programme, whether on-campus or during educational tours, is strictly prohibited. Individuals found recording may be removed from the programme.

Photography
We will be capturing regular photos of our programmes, tours, and students for promotional use on social media. If you prefer not to feature in any photos, kindly notify us before the trip, and we will make every effort to respect your preference. In the unlikely event that you appear in a photo, please inform us immediately, and we will ensure it is promptly removed.

Data Protection and Privacy

We observe the requirements of the Data Protection Act 1998 in respect of all personal data held by the Institute at any time. We will not pass on such data to third parties save where this is necessary in connection with the performance by us of our contract with you, or as otherwise authorised by you.

We may use such data to notify you of our upcoming events, offers and promotions from time to time. For full details of our data protection and privacy policy, please refer to Al-Salam Institute’s Privacy Policy.

 

Force Majeure & Changes to Terms

Force Majeure

ASI Tours and Al-Salam Institute will not be held liable for any disruption or cancellation of the tour due to force majeure events, including but not limited to natural disasters, strikes, war, or governmental actions. In such cases, reasonable efforts will be made to offer alternative arrangements or reschedule the trip. If the trip is cancelled, participants will be offered a full refund, minus any administrative or non-refundable costs incurred, such as booking fees for flights, hotels, or other related expenses.

Changes to Terms and Conditions

These terms and conditions may be updated or amended at any time. Participants will be notified of any changes prior to the trip. By confirming your booking, you agree to the most current version of these terms.
